The Event Planner’s Survival Kit

Smart little products that solve the problems of a very long event day, from personal-care essentials for planners to thoughtful additions for guest bathroom baskets and hospitality kits.

Anyone who has ever produced an event knows how this goes. While the guests are sipping champagne, the event planner is probably on hour ten, fixing a seating issue, answering a vendor question, checking the lighting and somehow still smiling.

That’s why every event planner needs a survival kit: a personal care kit with essentials for staying fresh and comfortable through setup, guest arrivals and the final vendor load-out.

I’m not talking about the usual safety pins, Advil and Band-Aids, even though you need those too. I’m talking about the smart little products that solve the problems nobody thinks about until they’re standing in a ballroom wishing they had something to fix them: a surprise pimple, puffy eyes after a 5 a.m. wake-up call, hair that looked considerably better six hours ago. Dry hands from opening boxes and washing them 20 times. Coffee breath five minutes before you’re supposed to greet a client. Makeup that’s been on since sunrise. Nothing catastrophic, just the little things that can make a very long day feel even longer. And not only should every planner have one of these survival kits, ideally there’s a second kit for guests.

I love a great bathroom basket. It’s such a small hospitality detail, but people notice it. Skip the pile of random toiletries and put in things people will actually want to use like a great hand cream, a good mouth freshener, a hand sanitizer that smells amazing.

The goal isn’t more stuff. It’s having the right thing at exactly the right moment.

The Surprise Pimple: Starface Pimple Patches

Of course the pimple shows up on event day. That’s why Starface Hydro-Stars are going into the survival kit. These little hydrocolloid stars cover and protect visible spots while absorbing what’s underneath, and somehow manage to make having a breakout a little more fun.

I especially like these for the hours before an event. Put one on during setup, answer 50 emails, solve three problems you didn’t know existed, then take it off before makeup. This one stays in the planner’s kit. Although I wouldn’t be surprised if someone in the bridal suite asks to borrow one.

Problem solved: The breakout that picked exactly the wrong day to appear.

When Your Eyes Got Less Sleep Than You Did: numbuzin Under-Eye Patches

There are event mornings when the alarm goes off and your eyes tell the entire story. That’s when numbuzin No.9 NAD+ Collagen Under Eye Patches earn their spot in the survival kit. They’re cooling hydrogel patches designed to hydrate and visibly refresh tired-looking under-eyes.

This is exactly the kind of product I want in an event bag because it doesn’t require rearranging the morning. Put them on while you’re answering emails, reviewing the timeline or sitting in hair and makeup. You’re already doing those things anyway. They’re also an easy addition to a bridal suite, speaker green room or VIP hospitality kit. Put a few pairs out and I suspect they won’t be there for long.

Problem solved: Your eyes are announcing what time you woke up.

Ten Minutes for Your Face: Rodial Dragon’s Blood Hyaluronic Jelly Face Mask

There is usually a tiny window on an event day when setup is finished but the guests haven’t arrived yet. If you’re lucky enough to get one, use it.

Rodial Dragon’s Blood Hyaluronic Jelly Face Mask is going straight into the survival kit. The single-use jelly mask is designed to give skin a boost of hydration and help it look smoother, plumper and refreshed, which sounds pretty good when you’ve been at the venue since sunrise.

It’s individually packaged, so you can throw one in your event bag and pull it out during that rare moment when you actually get to sit down. Put it on while you’re reviewing the run of show, answering the last few emails or simply doing absolutely nothing for a few minutes. It’s also a smart addition to a bridal suite, speaker green room or VIP hospitality kit.

Problem solved: Your face is starting to look as tired as you feel.

Clean Hands Without the Boring Bottle: Touchland

Event planners touch everything: doors, boxes, place cards, elevator buttons, clipboards, florals, phones — more boxes. So hand sanitizer is an obvious survival-kit staple, but Touchland makes it a little more fun. With more than 20 scents, you can pick one that suits you, or put several in a guest bathroom. Confetti Cake feels particularly appropriate for a celebration, while Blue Sandalwood is warmer and Citrus Grove is fresh and bright. Keep one in your event bag and a few by the sink.

Problem solved: You’ve touched approximately 4,000 things since breakfast.

Hands That Have Been Working All Day: Blossom Essentials

Event days are surprisingly hard on your hands. You’re opening boxes, moving place cards, carrying bags, handling florals and washing your hands constantly. Blossom Essentials Barrier Renewal Hand Cream is made for dry, overworked hands, with ingredients that moisturize and help support the skin barrier. It’s designed to absorb without leaving your hands feeling greasy, which is especially important on an event day. Because moisturizing your hands and immediately leaving fingerprints on 200 place cards defeats the purpose.

The 1-ounce size is also easy to toss into an event bag. One in your kit. One by the sink. Done.

Problem solved: Hands that have had almost as long a day as you have.

Before You Talk to Another 100 People: The Smilery

Coffee. Lunch. Another coffee. Maybe a snack you ate standing up in the service hallway. And now you need to greet another roomful of people. That’s where The Smilery Microbiotic Mouthwash makes sense. This isn’t the full oral-care routine. This is the event-day reset — the thing you reach for when you’ve got two minutes before the doors open and would rather your client not know exactly how much coffee it took to get you this far.

I like it in the planner’s personal kit for that quick refresh before greeting guests, stepping onstage or heading back onto the event floor. And that’s really its job here: quick, easy and useful at precisely the moment you need it. For a guest bathroom or hospitality basket, I’d stick to individually packaged or single-use oral-care products rather than a communal bottle.

Problem solved: The coffee was necessary. The coffee breath wasn’t.

When You Need the Full Reset: EvenMouth

There are the event days when a mint or even a quick rinse isn’t going to cut it. That’s where EvenMouth Duo Biotic Toothpaste comes in. If you’ve been at the hotel since sunrise and won’t be leaving until the last vendor loads out, brushing your teeth halfway through the day can feel surprisingly luxurious. Keep a toothbrush and toothpaste in your personal kit and suddenly you have something close to a reset button. EvenMouth takes an interesting approach to that very ordinary ritual. Its Duo Biotic Toothpaste is built around the oral microbiome, combining a prebiotic with a postbiotic rather than treating brushing simply as a matter of making your mouth taste minty. The EvenMouth Multi Biotic Dental Drops, contain live oral probiotics and are designed to complement the toothpaste. These aren’t really the 30-second event-floor solution which is why The Smilery has its own job in this kit. The drops make more sense as part of the before-bed routine, especially after one of those event days when you’ve been going since 5 a.m.

Brush. Use the drops. Go to bed. You’ve earned it.

Problem solved: Your event-day oral-care routine shouldn’t consist entirely of coffee and mints.

The Hour-Eight Refresh: MUTHA

Deodorant isn’t the most exciting thing in the survival kit until you need it. MUTHA Deodorant is aluminum-free, so it works as a deodorant rather than an antiperspirant. Instead of blocking perspiration, it’s designed to help keep odor in check while allowing you to sweat naturally. When you’ve been moving from loading dock to ballroom to kitchen to registration desk for eight hours, a quick refresh can make a surprisingly big difference.

This one stays in the personal kit. Some things don’t need to be shared.

Problem solved: It’s hour eight. Enough said.

When Your 6 A.M. Makeup Meets Your 10 P.M. Event: Anastasia Beverly Hills

If your makeup went on at 6 a.m. and the party isn’t ending until after midnight, a setting spray earns its spot in the bag. Anastasia Beverly Hills Impeccable 24HR Blurring Matte Setting Spray is designed to set makeup, control shine and give skin a more blurred, natural-matte finish. That’s particularly useful on an event day when you’re constantly moving between environments: outside, inside, kitchen, ballroom, dance floor and back again.

A quick mist before the doors open or halfway through the evening gives you a refresh without having to start over. There’s a mini size, which makes sense for an already-overstuffed event bag.

Problem solved: Your makeup has worked almost as many hours as you have.

The 60-Second Hair Reset: Oribe + Paul Mitchell Dry Shampoo

By hour eight, even the best blowout may be starting to show the day. That’s why a good dry shampoo deserves a spot in the survival kit. Oribe Gold Lust Dry Shampoo helps absorb oil and refresh the roots without leaving hair feeling heavy or overly powdery. It’s a good option when you want to freshen things up while keeping your original style intact. Paul Mitchell Intense Dry Shampoo is another event-day option, particularly when hair is beginning to look flat or the roots need a more noticeable refresh. It absorbs excess oil and helps bring some life back to hair without starting over.

Dry shampoo isn’t just about hiding oily roots on an event day. It can help revive a blowout after setup and give your hair a quick reset before the doors open. Sometimes you’ve got 60 seconds in the bathroom and you don’t have time to redo your hair. Make the seconds count.

Problem solved: Your blowout didn’t get the memo that this was a 14-hour event.

Something That Just Makes You Smile: Crickle Daisy

Not every problem requires serious intervention, sometimes you just need something fun. I love Crickle Daisy Cake Scented Lip Treats for exactly that reason. They have a sweet, nostalgic cake scent that’s playful without taking itself too seriously.

After hours of timelines, vendor questions and running from one end of a ballroom to the other, pulling out something that smells like cake is a surprisingly nice little moment. Keep one in your own bag, or add individually packaged Lip Treats to a bridal suite, welcome bag or hospitality setup.

Problem solved: Not technically a problem. Sometimes you just need cake.

The Secret Is Having the Right Thing

The best survival kits and the best hospitality baskets aren’t overflowing with random minis — they’re edited. I’d rather have ten things that solve ten actual problems than 30 things nobody wants to use. You can fill in the gaps with the unglamorous things that inevitably save the day: tissues, individually wrapped flossers, stain-removal wipes, fashion tape, hair ties, bobby pins, mints, blotting papers and a tiny sewing kit.

To make the most of your survival kits, think about where you’re putting everything. A bathroom basket is for guests. A green room might need an entirely different assortment. And the planner’s personal kit should contain the things you know you will need when you’re ten hours in and still have four hours to go.

That’s the thing about great hospitality. It isn’t always the enormous floral installation or the spectacular dinner. Sometimes it’s simply anticipating what someone will need before they have to ask for it. And for the event planner who’s been there since sunrise? Make two kits and keep one for yourself!
